Work System
The Hub / Reminders & automation

The chasing and checking, done for you.

Every business has jobs that exist only to make sure other jobs happen: chasing orders, reminding staff, checking dates, sending the same email again. The Hub does those, and tells you only when something needs a decision.

What runs on its own

Expiry warnings

Three months, two months, one month and expired, for every licence and certificate. Each warning once.

Order chasing

An order that's been with a supplier too long without confirmation is flagged, with a Chase button and a ready-written email.

Recurring jobs

Weekly checks, monthly inspections, quarterly returns: created on schedule and assigned to the right person.

Pre-written emails

Replies to enquiries, chase emails, confirmations, in your tone. The office checks and sends.

Rota housekeeping

Booked events appear on the rota. Drop-outs are flagged for cover within a minute.

The overview

Every morning, everything that needs a decision, in one list. If it's not there, it's handled.

Email and text reminders

Reach staff where they are

Shift reminders the evening before, rota published notices, licence renewal nudges to the person themselves. Added as an add-on because texts cost a few pence each, and some businesses prefer staff to simply check their phone.

  • Emails included; texts charged at cost
  • You choose what goes out and when
  • Replies land in the Hub, not a personal phone

What stays with people

The Hub does

  • Counting, checking and chasing
  • Drafting the routine emails
  • Creating recurring work
  • Surfacing what needs a decision

People do

  • Decide
  • Approve anything that goes to a client or supplier
  • Deal with the exceptions
  • Everything that needs judgement

Questions about reminders and automation

Will it send things without us knowing?

Only what you've set it to. Anything that goes to a client or supplier is drafted for the office to check and send, unless you tell us otherwise for a particular routine.

What does a text cost?

A few pence per message, charged at cost. Most businesses send a few hundred a month at most. Email reminders are included.

Can it connect to software we already use?

Sometimes. Tell us what you use and we'll say honestly whether it's worth connecting or better left separate.

Goes well with

What takes up your Friday afternoon?

Tell us the jobs that exist only to make sure other jobs happen, and we'll show you which ones the Hub can take.
