The Hub / Licences & compliance

Nothing expires without warning.

Every licence, certificate, card and screening date lives on the person's profile, and the Hub counts down from it. You're warned at three months, two months and one month. Anyone who's lapsed can't be put on a shift.

How it keeps you compliant

Import

Your current spreadsheet goes in once. Columns are matched on screen; dates in any format.

Profile

Each person's licences, certificates, screening and inductions on one page.

Badge check

Staff photograph their badge from their phone. The office checks it once and marks it verified.

Countdown

Every item counts down. The overview shows anything inside three months.

Warnings

Three months, two months, one month, and expired. Each only once, so nobody gets nagged.

Enforced

The rota won't suggest anyone whose licence has lapsed for a site that needs it.

Beyond licences

Sites have requirements too

Each site records what the job needs: which licence types, which skills, whether a site induction is required, and whether the client has approved or barred particular people. Staff profiles record what each person holds. The rota matches the two.

  • Required licence types and skills per site
  • Inductions recorded per person per site
  • Client-approved and client-barred lists
For staff

Two minutes on their phone

New starters get a link, check their details, add their next of kin, photograph their badge and say how far they'll travel. The office approves them once and they're ready to roster.

  • No paper forms
  • Photo straight from the phone camera
  • Their own licence status, so renewals aren't a surprise

What each person sees

The office

  • Everyone's licences and certificates, sorted by expiry
  • Expired, under a month, under three months, in date
  • Badge photos to check
  • Site requirements and inductions
  • Screening status per person
  • An import tool for the spreadsheet you use now

Staff

  • Their own licences and expiry dates
  • Upload a badge photo
  • Their own details and next of kin
  • Nobody else's information

Works for any date that matters

Security

SIA licences by sector, BS 7858 screening, first aid, site inductions.

Construction

CSCS and CPCS cards, plant tickets, asbestos awareness, working at height, first aid.

Driving

Licence checks, insurance and MOT dates for company vehicles.

Cleaning and facilities

DBS checks, COSHH training, keyholding authorisations.

The business itself

Insurance renewals, accreditations, contracts with end dates.

Anything else

If it has an expiry date, it can be tracked and warned about.

Questions about licences and compliance

What happens when something expires?

It turns red on the overview and in the person's profile, and the rota stops suggesting them for any site that needs that licence. The office decides what to do; the Hub makes sure they know.

Can we keep our spreadsheet as well?

You can, but you won't want to. Once the Hub has the data, it's always up to date, because staff keep their own details current and the office records renewals as they happen.

Can the warnings go by email?

Warnings show in the Hub for everyone with the right role. Email and text alerts are part of the Reminders & automation module.

Can we see a history?

Yes. Previous licences and certificates stay on the profile when a new one is added, so you can show what was in date on any given day.
